Power BI bookmarks are powerful tools that enhance your dashboard and report navigation. This guide will walk you through the process of using bookmarks effectively.
Step 1: Accessing Bookmarks
Open your Power BI Desktop.
Navigate to the View tab on the ribbon.
Click on the Bookmarks section to display the bookmarks pane. You may also want to enable the Selection Pane for better visibility of your visuals.
Step 2: Creating Your First Bookmark
Start with a blank report or a report with visuals (e.g., a table and a pie chart).
Go to the page you want to bookmark.
Click Add in the bookmarks pane to create a new bookmark. It will be labeled as "Bookmark 1" by default.
Rename the bookmark to something descriptive (e.g., "Page 2").
Step 3: Configuring Bookmark Options
Click on the three dots next to your bookmark to access options.
Ensure the following options are checked:
Data: Captures all filters and drill-downs.
Display: Applies the visual display states.
Current Page: Ensures navigation to the correct page.
All Visuals: Applies changes to all visuals on the page.
Step 4: Adding Navigation Buttons
Insert a shape (e.g., a pill shape) to serve as a button.
With the shape selected, go to the Format Shape pane.
Turn on Action and set the action type to Bookmark. Choose the bookmark you created (e.g., "Page 2").
Step 5: Creating Multiple Bookmarks
To create a bookmark for a different visual (e.g., switching from a pie chart to a line graph), add the new visual to the page.
Hide the pie chart and keep the line chart visible.
Add a new bookmark and rename it (e.g., "Line Chart"). Repeat this for the pie chart.
Step 6: Grouping Bookmarks
Select multiple bookmarks related to a specific page or function.
Right-click and choose Group to organize them effectively (e.g., group all bookmarks related to "Page 2").
Step 7: Using Bookmarks for Filters
Set up filters for specific criteria (e.g., for the accounting department).
Assign these filters to a bookmark, allowing easy navigation without creating multiple pages.
